Who we are
Martin Masters Ltd is responsible for deciding how personal information collected through this website and our project enquiries is used. This makes us the data controller.
We are registered in England and Wales under company number 08511130. Our registered office is Suite 41, Chessington Business Centre, 37 Cox Lane, Chessington, KT9 1SD.
For privacy questions, email info@martinmasters.com or write to our registered office.
Information we collect
When you use the enquiry form, we collect your name, email address, project type and any phone number or project details you choose to provide. We also receive information you send us by email and in subsequent correspondence.
Your name, email and project type are required to submit the form. Phone numbers and project details are optional. Without a way to contact you, we cannot reply to your enquiry. Please share only the information needed to discuss your project.
The hosting service also processes technical information such as your IP address, browser information, the pages you visit and cookie identifiers.
How we use your information
- Discussing a potential project: to respond, understand the work you are considering and prepare a proposal. Where you are considering a contract with us, our lawful basis is taking steps at your request before entering a contract.
- Other correspondence: including enquiries made on behalf of a business, we rely on our legitimate interest in answering requests and managing business relationships.
- Website and enquiry security: we rely on our legitimate interest in keeping the website available, preventing abuse and ensuring enquiries are delivered reliably.
- Legal requirements: where we must retain or disclose information to comply with a legal obligation, that obligation is our lawful basis.
Submitting an enquiry does not subscribe you to marketing emails. The enquiry form does not make automated decisions about accepting your project.
Service providers and sharing
Our team uses your information to handle your enquiry. The website and enquiry delivery also use:
- OpenAI and Cloudflare: website hosting, delivery, security and the enquiry service.
- Google Workspace and Google Apps Script: delivering enquiries to our company inbox and managing email correspondence.
We may also disclose relevant information where the law requires it or where necessary to obtain professional advice or establish, exercise or defend legal claims.
These providers may process information outside the UK. The OpenAI hosting data processing terms describe its role as a processor for personal information collected by published websites and provide for standard contractual clauses with the UK Addendum for UK data. Google publishes a Cloud Data Processing Addendum. We are confirming the Google Workspace and Apps Script arrangements applying to our account, along with provider-specific processing locations and retention details. Contact us for information about the safeguards relevant to your data.
How long we keep information
For enquiries that do not become projects, we keep the correspondence for 12 months after the last contact, unless a legal obligation or an ongoing dispute requires us to retain relevant information for longer.
If your enquiry becomes a project, we keep the information needed to manage the work and meet our responsibilities afterwards. We decide how long to keep each record based on accounting and legal requirements, applicable warranties and possible claims. Contact us for the retention period or criteria that apply to your project.
We keep short security records to prevent spam and duplicate enquiries. These contain coded identifiers and submission references, not the full enquiry message. They normally become eligible for deletion after about 24 hours. Deletion runs in batches when further enquiries are submitted, so records can remain for longer. Our hosting and email providers separately keep service logs and backups under their own retention arrangements.
Your rights
Depending on the circumstances and our lawful basis, you can ask to access, correct or delete your information, restrict its use, or receive qualifying information in a portable format.
You have the right to object to processing based on our legitimate interests. Tell us which processing you object to and why it affects your circumstances. We will consider your request under the applicable data protection rules.
Email info@martinmasters.com with your request, or write to our registered office. We may need to confirm your identity. We normally respond within one month; if a lawful extension applies, we will explain it to you.
Questions and complaints
To raise a privacy concern or complaint, email info@martinmasters.com or write to our registered office. You can use “Privacy complaint” as the email subject, but this is optional. Tell us what happened and how you would like us to resolve it.
We will acknowledge a data protection complaint within 30 days, investigate it and explain the outcome. We will keep you informed if the investigation takes longer.
You also have the right to complain to the Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint or call 0303 123 1113.
